What happens if I downgrade a user’s seat from Content Manager to a Viewer?

If a Content Manager is switched to a Viewer:

  • All their tasks become unassigned.
  • They cannot write, edit or delete any content.
  • They lose the ability to manage settings in projects or notes.
  • They cannot create comments.
  • The Home page remains in its current state and can no longer be customized.
    • The personal checklist on your Home page is now read-only. You can no longer edit existing items or add new entries.
  • They cannot use the Reports feature (=they can open the feature, but not add filters).
  • Pinned tasks (formerly Agenda): Only the Focus column can be modified. All other columns in your Tasks area are now locked and cannot be modified.
  • Private projects in which the user was the only project member will get a new Content Manager. This means that another person from the team will have access to the private project and can manage it.
  • Their project role is changed to Viewer in all projects they have joined. 
  • The user is notified via E-Mail of this change.

To avoid disruptions, ensure that at least one user with Content Manager rights remains in each project or note.

What happens if the affected user is the only Content Manager in a project or note?

- If you downgrade a person with the Content Manager seat, this will affect their projects. If the person is the only person with the Content Manager project role in other projects, you will need to select a new person, a replacement, to take over the role. You can select any team member who currently has a Content Manager seat in your team. The person you select will then be assigned the Content Manager role for the relevant project or note.
- Important: When reassigning the Content Manager project role, please note that the new person responsible may gain access to private projects that they could not previously see. 

What happens to a Guest when a Content Manager seat is downgraded to a Viewer seat?

If a Content Manager seat is downgraded to a Viewer seat and the user has the Guest project role in projects:
- The user will remain a Guest (project role) in all internal and external projects where they were previously invited as a Guest.

- After the downgrade, they can only have one of two project roles in these projects: Guest or Viewer. 

- In all other areas, they will automatically be downgraded to the Viewer project role.
