Key differences

Not sure when to use a checklist or a subtask? Here's a breakdown:

  • Use a checklist when you're dealing with small, simple to-dos that don’t require a separate assignee or deadline. These are great for tracking progress inside a task and work especially well in templates, since checklists can be duplicated.
  • Use a subtask when the item is more complex and needs to be tracked independently. Subtasks are ideal when:
    • A different person is responsible for completing it
    • The task has its own deadline
    • You want to attach files, assign tags, or set dependencies
    • The subtask needs to be moved to a different project board

Tips

  • If you’re building a reusable project template, it’s best to stick with checklists.
  • If you need to duplicate a project, it's also best to stick with templates. Duplicating a task with a subtask is not supported by MeisterTask. The subtasks with appear as normal tasks in the duplicated project. You'll have to re-link the tasks as subtasks manually.
