Create a Recurring Task

This feature is available to Pro and Business users

You can set up a Recurring Task automation for tasks that need to be completed repeatedly at regular intervals. Use this automation to save time and ensure that your responsibilities are never overlooked.

What are Recurring Tasks?

Recurring tasks are tasks created automatically on a regular basis (daily, weekly, monthly, only on certain days, etc.).

During project management, some tasks may need to be completed multiple times at regular intervals. You might need to:

 

  • Plan a weekly meeting
  • Schedule a monthly review
  • Pick up your kids from school on weekdays

Instead of constantly recreating a task for each of the above instances, you can set up a recurring task to save time and ensure that your responsibilities are never overlooked.

 


 

Create a Recurring Task

Recurring Tasks are one of MeisterTask's Automations. As such, they're created a bit differently than a normal task.

 

  1. First, hold your mouse over a section header and click the expansion arrow which appears.
  2. Select Automations from the drop-down menu.
  3. Select + Add Automation.
  4. Choose Recurring Task
  5. Click on +Add Template

  6. You'll now be prompted to create a task template which will form the basis of your recurring task. You can choose a name, assignee, description, etc. for your recurring task. Once you've finished, click Save template.

  7. You should now see the "Add Automation" window. Here, you can choose:

    • The section your task will appear in
    • The frequency and time at which your task will recur (weekly, monthly or annually)
    • The start date for your recurring task.

Once you're finished selecting options, click Done to save your recurring task.

 


 

Make an Existing Task Recurrent

You can also edit a task you've already created to become recurrent.

 

  1. First, open up the task you want to make recurrent.
  2. Click on the more options icon (...) in the top-right corner of the task window.
  3. Select Repeat.

You should now see the "Add Automation" window. Here, you can choose:

  • The section your recurring task will be created in
  • The frequency and time at which your task will recur (weekly, monthly or annually)
  • The start date for your recurring task

Once you're finished selecting options, click Done to save your recurring task.

 


 

Remove a Recurring Task Automation 

Deleting a single instance of a recurring task will only delete that specific occurrence. To fully delete a recurring task, you'll need to remove the recurring task automation. 

  1. First, hold your mouse over the section header which contains your recurring task and click the expansion arrow.
  2. Select Automations from the drop-down menu.
  3. Hold your mouse over the recurring task you'd like to delete and click the to remove the recurring task automation.

Your recurring task automation has now been fully removed.

How do I stop a recurring tasks? I want to delete them, but they always get created again.

Hi @Vincent Rabl, just deleting the task with the automation in it will have no effect. A recurring task needs to be deleted exactly where it was set up - in Automations. If you need our assistance, please contact us directly via support@meistertask.com. Best, Nikola

Recurring tasks are creating again but leave the previous ones complete and not archived, can it be archived automatically? Do i need to archive them manually every day??

Hi David, thanks for reaching out! Like normal tasks, recurring tasks will not be archived or completed until you mark them as such.

You can quickly complete & archive tasks by double clicking the "complete" button in the task window, or even use CTRL (command on Mac) to select multiple tasks to archive or complete.

You also find it useful to set up a "Complete and Archive" automation (under Change Status) for a column in your project. This allows you to quickly remove tasks from your project simply by moving them to this column.

Hi There, how do I view existing recurring tasks within a project? They do not get listed alongside the other (non recurring) tasks

Hi Rory, thanks for the question :D I realize this is a bit confusing, so let me explain it first, and then give you an example.

Recurring tasks are "triggered" to appear in your project section at the time you've set them to recur. Once the recurring time period is reached (e.g. every week), a single instance of the recurring task will appear in your project section, just like any normal task. Before that time, you can see the recurring task automation in the project section menu under "automations" see above.

I know it sounds a bit confusing, so let me try to explain it with an example:


Let's say that on Monday, I set a recurring task automation to remind me to submit a weekly report every Friday at 5pm. After I've set up this up, the recurring task automation and task template will immediately be visible under the section header menu. BUT the task itself will not be created until Friday at 5pm. At that time, the task will be visible and created like any other task!
