The term Viewer is used in two different ways in MeisterTask:
This article explains the permissions available for users with a Viewer seat and what actions users can take when assigned the Viewer role in a project.
What is a Viewer?
The term Viewer applies to both product seat and project role.
Viewer seat
A Viewer seat determines a user's overall access to MeisterTask. It affects:
- The ability to use features such as search, reports and not being able to use features such as My Checklist.
- The project roles a user can be assigned. Users with a Viewer seat can only be assigned the Viewer role in projects. They cannot take on any other role.
Viewer role
A Viewer role defines a user's permissions within a specific project or note. Viewers:
- Can view project content.
- Have read-only access.
- Cannot create new content or edit existing content.
What can Viewers do?
Users with a Viewer seat can:
- Search and view content: Use the search function in the left sidebar.
- Reports: Access predefined reports using the Quick Reports feature.
- Join Team-Projects as a Viewer
Users with the Viewer role in a project can:
- Access content: view all team content, private projects where they have been added, and archived/deleted items.
- Interact: react to comments with emojis and receive notifications.
- Attachments: view/download attachments.
- Printing: use print functions.
- Presentation Mode: use presentation mode in Notes.
What can Viewers not do?
Users with a Viewer seat cannot:
- Create projects or notes
- Join external projects or notes in a guest role
- Create or access items in My Checklist
Users with the Viewer role in a specific project cannot:
- Create or edit tasks (including filling out task details or notes)
- Add attachments to tasks or notes
- Assign tasks to themselves or others
- Create comments on tasks or notes
- Set due dates or schedule timelines for tasks
- Pin tasks
- Modify project settings, such as:
- Adding or removing project members
- Editing tags
- Sharing projects
- Setting up automations
- Watch or follow tasks and projects (they cannot add themselves as watchers)

How can I set up a Viewer in MeisterTask?
Team Admins can assign the Viewer to a user as a product seat on the Accounts page. Assigning Viewer seat restricts the user’s access systemwide.
Content Managers can assign the Viewer role as a project role for specific projects or notes in their Project/Notes Settings. Assigning the Viewer role at this level restricts the user’s access only within the selected project or note.
