These changes will only affect teams on a MeisterTask Basic plan with more than five team members.
What is changing?
From June 24, 2025, the following will apply to teams on a free MeisterTask Basic plan:
- Maximum of 5 Content Manager seats
- Unlimited number of Viewer seats
What is a Viewer? What is a Content Manager?
In MeisterTask, there are two types of seats:
- Users with a Content Manager seat can be assigned any project role. They have access to all features in projects and notes in MeisterTask. Content Managers can create and edit content.
- Viewer seats can only be assigned the Viewer role in projects and notes. Viewers have read-only access and cannot edit content.

MeisterTask vs MindMeister
These changes only affect MeisterTask. If you use MindMeister, you can continue to use an unlimited number of Content Managers for MindMeister.
What do you need to do?
Your team has more than 5 members
If your team has more than 5 team members, you should do the following before June 24, 2025:
- Decide with your team which team members only need viewing rights and therefore should receive Viewer seats instead of Content Manager seats.
- Update your seats in the My Team section in your account.
- Consider upgrading to a paid plan so that all team members can continue to benefit from their usual editing permissions.
Your team has up to 5 members
If your team has 5 or fewer team members you don't need to take any action.
Who can adjust the seats?
On the Basic plan, certain team members have Admin rights and can change this setting at any time. Admins can allocate and change seats in the account section.
What happens if all team members are Team Admins — who selects the Content Managers?
All team admins will be notified when it is time to select which team members should hold the 5 available Content Manager seats. The first admin who logs in to MeisterTask, or Accounts, may assign these seats for the team. If no action is taken, any other team admin can log in and make the selection instead. This ensures that teams have flexibility in deciding who should hold Content Manager roles.
How do you reassign seats?
Team Admins can reassign seats. To assign a Viewer or Content Manager seat to a user:
- Click on your profile picture in the top-right corner of the MeisterTask window.
- Select Account.
- Click My Team. (Only visible to Team Admins.)
- Browse the list for the user whose seat you want to change.
- Use the drop-down menu under MeisterTask to switch a user from the Content Manager to Viewer role.
- Now that a Content Manager seat has become available, you can reassign the seat to someone else. Select another person and switch their role from Viewer to Content Manager.
When can you switch a user's seat?
A Team Admin can change the seat type at any time, as often as needed.
Why are all 5 Content Manager seats taken even though I only have 4 team members?
If you have invited a user to be a Content Manager, the seat will be reserved even if they have not yet accepted the invitation. The seat will remain reserved until they accept the invitation or it will be automatically deleted after 14 days.
Why can I only invite Viewers to my team?
If your team is already using 5 Content Manager seats, new members can only be added as Viewers.
Does the new limit mean I can only edit 5 projects in the future?
No.
The limit of 5 Content Manager seats only applies to how many Content Managers can be assigned within your own team with a Basic plan in MeisterTask. It does not affect how many projects you can join or edit.
As long as you have a Content Manager seat yourself and have been invited to multiple projects by external teams with a Pro or Business plan, you can work there as usual as a project member with editing rights.
Important: If your team admin downgrades your license from Content Manager to Viewer, this change also affects any external projects you are part of. You will lose editing rights and become a Viewer in those projects too.
Does the new limit mean that only 5 users have editing rights in a project?
Yes.
Projects that belong to a team with a Basic plan can only have 5 users with the Content Manager role. (Projects that belong to a team with a Pro or Business plan can have an unlimited number of users with editing rights.)
The answer in detail: The limit applies at the team level, not at the project level. It specifically refers to how many team members in your "My Team" section can be assigned a Content Manager seat, not how many people can be added to a project.
However: Since only 5 team members can hold a Content Manager seat at the same time, this does affect your projects. For example, if your team has 8 team members but only 5 Content Manager seat are available, only those 5 licensed users will be able to create and edit content in projects. The remaining members will only have Viewer access, even if they have already been added to a project.
In short: You can invite more than 5 people to a project, but only those with a Content Manager seat in your team will be able to actively work on it.
What happens if the Team Admin does not select the 5 Content Managers?
When a Team Admin logs into MeisterTask, a prompt will appear to assign the 5 available Content Manager seats. This selection must be made before the team members can continue their work. If the Team Admin does not take this action, the remaining users who only have the Team Member role will not be able to work in MeisterTask as usual!
If no Team Admin assigns the 5 Content Managers seats:
- Team members will not be able to use MeisterTask.
- In MeisterTask, team members will see a message asking them to contact their Team Admin. This message is displayed until a Team Admin has completed the assignment of the 5 product seats.
- The selection window will remain visible to all Team Admins until the 5 Content Managers have been selected.
MindMeister is not affected by these changes. Team Members will still be able to access MindMeister.
Why do I see: "The free Basic plan is limited to 5 Content Manager seats. Your team currently exceeds this limit."?
More than 5 users in your team have the “Content Manager” MeisterTask product seat. This is not allowed in the free Basic plan, only 5 Content Managers are included in the Basic plan.
(This change was communicated by E-Mail in May 2025 to the Team Admins, and implemented in June 2025).
What do you need to do now?
- A Team Admin must take immediate action. (If you are not a Team Admin, please contact your Team Admin so that this user can carry out the necessary steps).
- A Team Admin needs to navigate to Account > My Team and select which 5 team members should keep the product seat as Content Manager. Learn more here.
- All other users will be converted to Viewer seats.
- Until the Team Admin has completed this step, access for team members in MeisterTask is restricted.
