Step 2: Assign licenses to team members

If your team has more members than purchased seats, you’ll need to assign the paid licenses to the users who need editing rights. Paid licenses are assigned by giving users the Content Manager role. All other team members

What happens after I upgrade?

Once you’ve upgraded:

  • You and your team can immediately access all features included in your new plan.
  • You can downgrade or cancel your subscription at any time from the Plans page.

Can I upgrade only one single team member on my team?

No

It is not possible to upgrade only one team member from the Basic plan to a Pro or Business plan while others remain on the free Basic plan. You cannot mix different plans.

In teams, all team members must be on the same plan level. For example, it is not allowed to purchase one Pro or Business license while other team members stay on the free Basic plan.

Special Case: Only one team member needs editing access

For example, if you have a team of 10 team members:
- 1 user has a Content Manager seat
- 9 users have a Viewer seat
In this case, you can upgrade your team to a Pro or Business plan and only purchase 1 seat. Only the one user with the Content Manager seat needs a paid license, as the Viewer seats are and will remain cost-free anyway.

Workarounds and Options

If you want to purchase a Pro or Business seat for a user in an existing team with a Basic subscription, there are two options on how to proceed:

Option 1 (recommended):

  • Upgrade the entire team by purchasing multiple Pro or Business seats.
  • Each team member will then have full access to all paid features.

Option 2 (not recommended):

This option is only suitable if:

- Only one user needs editing rights (to create and edit projects, tasks and notes)

- all other users require only read-only access

To do so:

  1. Open Account > My team.
  2. Change the setting of all team members to Viewer, except for the one user who needs editing rights. Keep this one other user as Content Manager. A paid seat is required for this product seat. All other team members remain in the free Viewer role with read-only access. (Team members with the Viewer role can only view projects, tasks and notes, but cannot create or edit content).
  3. Click on Plans in the left sidebar.
  4. Click on Upgrade.
  5. Click on Purchase now.
  6. Select either the Pro plan or Business plan.
  7. Select “1 user”.
  8. Select a monthly or annual subscription.
  9. Enter your payment information and confirm the purchase.
