Automations

Who can use this feature?

- This feature is available to users with a Content Manager project role.
- This feature is available to users on Pro and Business plans.


Every project includes repetitive work. Use automations in MeisterTask to reduce manual effort, keep your workflow consistent, and help your team focus on meaningful tasks.


Automate actions in your workflow

Automations trigger actions automatically whenever a task is created or moved into a section.

They are most effective for workflows with clear, repeatable steps, such as reviews, approvals, or handovers.

Example

If all tasks must be reviewed before completion, you can add the Assign Task automation to your "Review" section. Every task moved there will be automatically assigned to the reviewer.

 

Good to know

Automations apply to an entire section and affect all tasks within that section.


Add automations to a section

You can add automations directly from your project board:

  1. Hover over a section header.
  2. Click the arrow icon.
  3. Select Automations.
  4. Click + Add Automation.
  5. Select the automation you want to use.

If you use multiple automations in one section, they run in order.

Example: If you want to add tags and then move a task, place the tag automation first.


Choose the right automation

MeisterTask offers a range of automations to support different workflows. Each one is triggered when a task enters a section.

Move Task: Move tasks to another project.
Update Due Date: Adjust deadlines automatically.
Time Tracking: Start or stop tracking.
Tags: Add or remove tags.
Checklist: Add predefined checklists.
Recurring Tasks: Automate repeated tasks (learn more).
Email: Send automatic emails.
Slack: Send Slack messages.
Office365: Notify your team.
Update Watchers: Add or remove watchers automatically.

 

Update task watchers automatically

The Update Watchers automation lets you add or remove watchers when a task enters a section.

You can configure both actions in one automation. If you do, watchers are added first, then removed.

Important limitations
  • Only one Update Watchers automation can be used per section.
  • When removing watchers, you can select All watchers.

Edit or delete automations

You can manage all automations from your project settings:

  1. Click the (i) icon at the top of your project.
  2. Select Project Properties.
  3. Open the Automations tab.
  4. Edit with the pen icon or delete using the X.
