Plan availability
- Search is available to all users.
- Advanced search filters — including searching for tasks and notes that have been archived or deleted — require a Pro or Business plan.
- On iOS and Android, the task status filters (Active, Archived, Deleted) and reaching a project's archived or deleted tasks require Pro or above.
- Reports: Basic and Pro plans have limited access. Business plans have full access.
Click the magnifying glass on the left sidebar to search all projects, tasks, notes and pages that you have access to. To start a search, you need to enter text in the search field — selecting filters alone does not start a search.
The steps below describe search in the web app. You can also search from the MeisterTask apps for iOS and Android — see Search on iOS and Android.
Which results you see
- On iOS and Android, tasks, projects and notes all appear wherever you open search.
- Completed tasks cannot be filtered in search. Use Reports to find them.
Search Projects, Tasks and Notes
To search for projects, tasks and notes in any of your projects:
- Click on the magnifying glass in the top-left corner of the MeisterTask interface.
- Type in your search term. If you don't have specific text to search for, you can search using only filters — see How do I search for something without typing any text? In the results, you'll find notes and projects. In the web app, you will only see tasks as well if you opened the search within a project.
- Select Show all search results to see everything, including notes, projects and tasks.
- Narrow down your search by using the filters at the top of the search pop-up window.
You can filter your search by:
- Notes
- Projects
- Tasks
Tip
You can distinguish between search results based on their icons:
- A task icon indicates a task
- A round icon indicates a project
- A square icon indicates a note
Tip
Use the keyboard shortcut (Apple: CMD + K / Windows: CTRL + K) to quickly open the search window and find what you’re looking for.
Search for Tasks
To search for a specific task:
- Click the magnifying glass in the top-left corner of the interface.
- Type in your search term.
- Select Show all search results to see everything, including notes, projects and tasks.
- Select the filter Tasks. Scroll to the right to view all advanced search filters available:
Assignee
Due date
Project
Status (Active, Archive, Deleted)
Tags
Tip
The Status filter is especially useful. Selecting Active narrows your results to active tasks and excludes Archived and Deleted ones.
Tip
Hover over the search result and select the blue arrow to view and open the search result. If you want to open the result in a new tab, use the keyboard shortcuts:
- CMD + Enter
- CMD + click
- or right-click Open Link in New Tab
Search on iOS and Android
Search works the same way in the MeisterTask apps for iOS and Android as it does in the web app: one search covers everything you have access to.
Tap the search icon to open search. Results include tasks, projects and notes, grouped by type.
Recent items before you type
Before you enter a search term, search shows a Recent list of your six most recently opened items: two projects, two tasks and two notes.
If you apply a filter without typing a search term, the Recent list expands to show six items of that type.
Filter your results
Use the filters above your results to narrow them down: All, Tasks, Projects or Notes.
Each category shows up to three results at a time. Tap Show more below a category to apply that type's filter and see all of its results.
Filter tasks by status
When you filter your results to Tasks, additional status filters appear: Active, Archived and Deleted. You can select more than one at a time, for example to see active and archived tasks together.
Available on Pro and above
On mobile, the Active, Archived and Deleted status filters — and reaching a project's archived or deleted tasks through search — require a Pro plan or higher. On the free plan, an upgrade prompt appears on the filter pills and on the archive and trash access points.
Find matches inside a note
When your search term appears inside the content of a note, the note is listed together with the matching passages, and your keyword is highlighted. Tap a passage to open the note at that exact place.
Matches inside note content are available while you are online. If your device is offline, notes are matched on their title only.
Search for Content in a Specific Note or Page
You can also search an open note or page for specific content. To do this, open a note or page and:
- Click the magnifying glass on the left sidebar or press CTRL/CMD + F.
- Click the note name under the search field.
- Enter your search term.
- Click a search result to navigate to that note.
How do I search for something without typing any text?
To search using only filters, enter an asterisk * into the search box, then add filters as required.
Search using Reports
Basic and Pro plans have limited access to Reports. Business plans have full access.
Reports show your results as a chart and as a list of tasks, and let you filter by things search cannot — including completed tasks.
To build any report:
- Select Reports from the left sidebar.
- Click the Project widget in the top-left corner of the Reports interface and select the project(s) you want to report on, or select All Projects.
- Check the Status and Created This Month filters. Adjust these depending on whether you want to include completed or deleted tasks, and for the time span you want.
- Select the + icon to add the filter you need. Business plans can apply:
- Status: open tasks, completed tasks and/or deleted tasks.
- Created: tasks created within a certain time period.
- Date range: Created, Completed or Due.
- Assignees: tasks assigned to a specific person.
- Tags: tasks with specific tag(s).
Tasks assigned to a specific person
In step 4, select Assignee, then select the team member.
Tasks with specific tags
In step 4, select Tags, then choose as many tags as you like.
Tasks across all projects that are due this week
Select All Projects in step 2. In step 4, select Date Range, then Due, then This week.
Tasks that are overdue
In step 4, select Date Range, then Due, then Custom. Choose the date range on the calendar, e.g. from the beginning of the year to yesterday.
Tip
If you want to search within a specific project board, you can easily filter your view directly in the project. Search for keywords and use filters on the right sidebar. You can choose as many tags as you want to narrow down your search.
Why is the shortcut for search on Apple computers CMD + K, and on Windows computers CTRL + K, instead of CTRL + F?
Most web browsers let you search on a page by pressing CMD + F. MeisterTask uses CMD + K instead.
This way, we don't interfere with your browser's search function, keeping it available for use.
By using CMD + K, you can quickly search within MeisterTask while still being able to use your browser's search feature when needed.
