The Guest Role

Project Guests can only access and edit tasks which have been assigned to them or in which they have been mentioned. Assign guest roles to work with external collaborators while protecting sensitive project data.

What is the Guest Role?

The guest role is a new role added to the Roles and Permissions which already exist in MeisterTask.

Project guests can only access and edit tasks which have been assigned to them or in which they have been mentioned. Guests can:

 

  • Add or edit a task description
  • Add attachments
  • Create checklist items
  • Communicate with other collaborators in the comments section
  • Assign the task to another user
  • Mark the task as completed

 

Guests cannot add or remove other task watchers. All other tasks and project details remain completely hidden from guest users, making it the ideal role for external collaborators or any other user outside your team with whom you'd rather not share sensitive information. 

 

If a MeisterTask Basic user is added to a project as a guest, the project will not count towards their 3 project limit.


 

Invite a Guest to Collaborate on your Project

Project administrators can invite guests to their project from the project properties window.

 

  1. Click (i) at the top of your project board.
  2. Select Invite Person... from the drop-down menu.
  3. Enter the email address of the user you'd like to add as a guest.
  4. Click Member to change the roll of your invitee.
  5. Select Guest from the drop-down menu.

  6. Click Invite to send your invitation.
  7. Once the guest user has accepted your invitation, you can assign them any task (or mention them) to start collaborating.

 

Accessing Tasks as a Guest

As soon as you assign or mention your guest in any task, your guest will receive a notification with a link to the task. We recommend that guests pin assigned tasks to their agenda, allowing them easy access from the MeisterTask home screen. Find out more here.


 

Assign a Collaborator the Guest Role

 

  1. Click (i) at the top of your project board.
  2. Select Project Properties.
  3. Find the user whose role you'd like to change in the list of collaborators.
  4. Click the small arrow next to their current role.
  5. Select Guest from the drop-down menu.

Access Tasks as a Guest

If you've been assigned the guest role in a project, you'll receive a notification whenever a project administrator assigns or mentions you in a task. Click on the notification to view the task, then add the task to your agenda for easy access.
