The Guest Role

This feature is available to Business Users

Project Guests can only access and edit tasks which have been assigned to them or in which they have been added as a watcher. Assign guest roles to work with external collaborators while protecting sensitive project data.

Guests can access assigned tasks from their Agenda.

What is the Guest Role?

The guest role is one of MeisterTask's Roles and Permissions.

Project guests can only access and edit tasks which have been assigned to them or in which they have been mentioned. Guests can:

  • Add or edit a task description
  • Add attachments
  • Create checklist items
  • Communicate with other collaborators in the comments section
  • Assign the task to another user 
  • Mark the task as completed

Guests can assign tasks to other project members and, therefore, can see all project members' names, including other Guests.

Guests cannot add or remove other task watchers. All other tasks and project details remain completely hidden from guest users, making it the ideal role for external collaborators.  

If a MeisterTask Basic user is added to a project as a guest, the project will not count towards their 3 project limit.

Invite a Guest to Your Project

You can invite guests to your project the same way you would with any other member.

  1. Click the project name at the top of your project board.
  2. Click Share from the drop-down menu.
  3. Enter the email address of the user you'd like to add as a guest.
  4. Click Member to change the roll of your invitee.
  5. Select Guest from the drop-down menu.

  6. Click Invite to send your invitation.
  7. Once the guest user has accepted your invitation, you can assign them any task (or add them as a watcher) to start collaborating.
Accessing Tasks as a Guest

As soon as you assign or mention your guest in any task, your guest will receive a notification with a link to the task. Guests can then access all of their guest-tasks from their Agenda.

Assign an Existing Collaborator the Guest Role

If your project already includes a collaborator to whom you'd like to assign the guest role:


  1. Click the project name at the top of your project board.
  2. Select Project settings.
  3. Open the Members tab.
  4. Find the user whose role you'd like to change in the list of collaborators.
  5. Click the small arrow next to their current role.
  6. Select Guest from the drop-down menu.


Access Tasks as a Guest

As a guest, you can use your Agenda to access all tasks which have been assigned to you (or in which you've been added as a watcher) in guest projects. To do this:


  1. Click Agenda on the left sidebar of your dashboard.
  2. Click the My Tasks widget on the left side of your Agenda and select Guest from the dropdown-menu.
  3. Choose whether to sort your guest tasks by name, date or project.
