FAQ: How can I prepare for the new (upcoming) three-project limit?

In 2019, Meister introduced a three-project limit for users of MeisterTask's free Basic plan. Now, we are updating how projects are allocated on the Basic plan to better facilitate team collaboration and efficiency. From May 23, 2024, project access will be based on team level rather than on an individual user level.

If you are on a Basic plan and your team combined has more than 3 projects, the following FAQs can help you prepare for the change. These changes only affect teams with a Basic subscription.


What is going to change?

From May 23, 2024, project access will be based on team level rather than on an individual user level. This means your team will now share access to a total of three projects.

Once the limit comes into effect:

  • Basic users will only be able to work on the three oldest projects created by anyone on the team.
  • Projects to which another paying team has invited you will remain fully accessible - These do not count towards the three-project limit.
  • All other projects will remain visible in “Read Only” inactive mode - You will not be able to make any changes to these projects.
Tip

“Read Only” inactive projects can still be opened and searched, allowing you to access important information.


How can my team best prepare for this change?

To ensure you can still work on your most essential MeisterTask projects, you'll need to take one of the following actions:

  • Upgrade to a Pro or Business Plan for unlimited projects.
  • Reduce the number of active projects within your team to three. You can do this by archiving or deleting any projects which aren't essential.

You can regain access to an archived project at any time by restoring the project. Find out more here.


Which projects count towards the team’s three-project limit?

All projects that you or anyone else on your team has created will count towards the three-project limit. Archiving or deleting an existing project will free up another project for you to edit.

Remember

Projects in which you have been invited from another paying team will not count towards your limit.


I have more than 3 projects. How can I continue working on all of them?

To continue working on all of your projects, you'll need to take one of the following actions:

  • Upgrade to a Pro or Business Plan for unlimited projects.
  • Reduce your number of active projects to three. You can do this by archiving or deleting any projects which aren't essential.

My team has more than 3 projects. What will happen to the projects which exceed the limit?

You and your team will lose editing privileges on all projects that exceed the three-project limit. These projects will be visible in a “Read Only” mode. These projects will NOT be deleted.


How can I upgrade to unlimited projects?

The best way to keep all your projects and access more task management features is to upgrade to MeisterTask Pro or Business.

A project I created exceeds the three-project limit. Can other users still work on it?

No. The three-project limit applies to all team members equally. Everyone on your team will have access (and lose access) to the same projects.


Another team has invited one of my team members to their project. Does it count towards our three-project limit?

No. Projects shared by external paying teams will not count towards the limit.


If I archive a project, which project will become available?

When you archive or delete one of your projects, the next project with the oldest creation date takes its place. The Creation Date is visible in the Project Settings. 

Please be aware that this affects all team members.


I joined a Basic team and have now lost access to my projects. How can I regain access?

If you are a Basic user and have joined a Basic team, all your projects will become team projects, owned by the new team. As a result, you can now access the three oldest projects created by anyone on the new Basic team.

If the projects you created are more recent than others on the Basic team, you will lose access to the ones you created. These projects will remain visible in “Read Only” inactive mode. You can still access and view the project but you cannot make any edits.

To regain access, you must archive or delete another active project. Please note that this affects all team members. Please consider talking to your team to decide together which projects should be editable.
